This Privacy Policy explains how PDH Pilot ("we," "us," "our") handles information in connection with PDH Pilot (the "Service") at pdhpilot.com. The Service is intended for users in the United States.
Information you enter: your license discipline, selected jurisdiction, license number, renewal date, and the continuing-education entries you log (course title, provider, date, hours, category).
Certificate images: if you use the optional scan feature, the certificate image you upload is sent to our AI provider to extract record fields (title, provider, date, hours, category). See Section 3.
Payment information: when you make a purchase, payment is handled by our payment processor (Stripe). From the checkout process we receive a confirmation that payment succeeded and limited transaction details, such as your name, email address, transaction amount, and the last digits of your card; we do not receive or store your full card number.
Limited technical data: like most websites, our hosting provider may process basic technical information (such as IP address and request logs) for security and reliability.
Cookies and similar technologies: our payment processor uses cookies and similar technologies during checkout for fraud prevention and to process your payment. We do not use cookies for advertising.
Your tracked records (license details and logged hours) are stored locally in your own web browser on your device, not in a central database we maintain. This means: we generally cannot see your logged records, you are responsible for keeping your own backups, and clearing your browser data or switching devices may remove or separate your records. Certificate images are used only transiently to extract fields and are not retained by us after processing (see Section 3).
The scan feature transmits the certificate image you choose to upload to our AI provider, Anthropic, which processes it solely to return the extracted fields to you. We instruct the provider to use the image only to perform this task. We do not use your certificate images to train any model. The provider's handling of data is governed by its own terms; you should not upload a certificate containing information you are not comfortable transmitting for this purpose.
We use information to: provide and operate the Service; process your one-time purchase; extract fields from certificates you submit; respond to support requests; maintain security; and comply with law.
We do not sell your personal information. We share information only with service providers that help us operate, specifically: Stripe (payment processing), Anthropic (AI field extraction), and our hosting provider. We may disclose information if required by law or to protect our rights.
Because your records are stored on your device, you control their retention and deletion. Transaction records held by our payment processor are retained per that processor's policies and applicable law. Support emails are retained as needed to assist you.
You can edit or delete your logged records directly in the Service at any time, and clear them by clearing the Service's data in your browser. Depending on your state of residence (for example, California, and other states with comprehensive privacy laws), you may have rights to access, correct, or delete personal information, or to not have it sold (we do not sell it). We take reasonable measures to protect information, and we limit the payment and AI data that passes through our systems by relying on established third-party providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
The Service is intended for licensed professionals and is not directed to anyone under 18. We do not knowingly collect information from children.
We may update this Policy. Material changes will be posted at pdhpilot.com with a new effective date.
